Guests and board links

Share one board with people outside your organization through a link or an email invitation, and decide what they can do.

A guest is someone outside your organization who opens one board, without an account or a seat, and sees nothing else in your workspace.

Who can share a board

The organization's owner, its admins, and Members who can edit the board; Read only people cannot. See Roles.

  1. On a computer, open the board and choose Share board at the bottom left.
  2. Pick what guests can do: Can view, Can comment or Can edit.
  3. If you like, add a password and a date when the link expires.
  4. Choose Create link; it is copied, ready to paste.

Anyone with the link can open the board. Copy link copies it again later.

Invite by email

In Share board, enter their email address, pick what they can do and choose Send invitation. The email holds a link and a 6-digit code. A Can view invitation opens on the first device without the code; the others ask for it the first time, and every other device needs it. An invitation expires after 30 days.

What guests can do

  • Can view: see the board as it changes, who else is on it, read comments, and export it as an image.
  • Can comment: also add comments and reply.
  • Can edit: also draw and change the board.

Editing through a link needs the Team plan; on other plans, and once a plan ends, an edit link lets guests view only.

Guests cannot add images, see board history, use the Fulveo Agent or open other boards. Their comments show as "Guest". A guest who wants to join chooses Request access. See Requesting access.

  • Turn off stops a link at once, for everyone who has it.
  • Reset link gives it a new address; guests need the new one.
  • Withdraw takes back an email invitation.
  • Remove under Guests ends one browser's access.

You can change the links and invitations you shared. Workspace admins can change all of them.

Everything shared from a workspace

Settings > Workspace > Shared links lists what you shared from every board of the workspace, with its guests, so you can turn a link off or remove a guest without opening the board. The organization's owner and admins see everything shared from the workspace.

Turn off guest sharing

The owner or an admin can switch off Guests on boards on the organization's General page in Settings. Every link and invitation stops working until it is switched back on. What was shared is still listed, so you can turn links off and remove guests, but not share anything new.

How long it is kept

Links and invitations are deleted 30 days after they are turned off or expire. A guest who has not opened the board for 30 days is removed; their comments stay, shown as "Guest". A removed guest is kept without access until that link or invitation is deleted, so that browser cannot return. The privacy policy has the details.
